Proposal.Biz (“Proposal.Biz”, “we”, “us”, or “our”), operated by EnactOn Technologies Private Limited, provides software for creating, managing, sharing, and processing proposals, documents, and related business content. This Privacy Policy explains what information we collect, why we process it, when we disclose it, how long we retain it, and the choices and controls available to you when you use Proposal.Biz, our websites, applications, integrations, APIs, AI features, MCP connections, and related services (collectively, the “Services”).
We collect and process only information reasonably necessary for the purposes disclosed in this Privacy Policy or as required by applicable law.
1. Information We Collect
1.1 Account and Profile Information
When you create or maintain a Proposal.Biz account, we may collect your name, email address, company or organization name, account and workspace information, authentication information, subscription information, billing information, and communications you send to us.
1.2 Documents and User Content
We process information that you upload, create, import, store, edit, share, or otherwise provide through the Services (“Your Content”), including:
- proposals, contracts, statements of work, presentations, reports, and other documents;
- uploaded files and document text;
- templates, brand information, product and service information, pricing and business information;
- comments, revisions, collaboration information, and document metadata; and
- customer, prospect, contact, and other business information included in Your Content.
1.3 AI Inputs and Outputs
When you use our AI features, we may process the prompts, instructions, selected or uploaded content, document context, files, brand information, business information, and other inputs reasonably necessary to generate, rewrite, summarize, extract, score, format, analyze, or otherwise process content at your request. We may also process the resulting AI-generated outputs.
1.4 Information from Connected Services
If you connect a third-party service, we may receive and send information through that connection according to the permissions you authorize and the functionality you enable. Supported integrations include HubSpot, Zoho CRM, Google Drive, Slack, e-signature services, communication services, and other CRM, storage, productivity, payment, or business platforms made available through the Services.
The information exchanged may include contacts, companies, deals, files, document information, metadata, notifications, and other information made available through the connected service.
1.5 Technical and Usage Information
We may automatically collect IP address, browser and device information, operating system, timestamps, pages and features used, actions taken within the Services, diagnostic and error information, security logs, performance information, referral information, and information collected through cookies and similar technologies.
1.6 AI Assistant and App Interaction Information
When you use Proposal.Biz through ChatGPT, Claude, an MCP connection, an API, a connector, or another AI-assisted interface, we may process the requests and information transmitted through that connection, including prompts or instructions, relevant conversation or document context, selected files or content, account or authorization information, tool or action parameters, and information needed to complete the requested operation.
2. How We Use Information
We use information only for purposes reasonably necessary to operate the Services and to carry out actions requested or authorized by you, including to:
- provide, operate, maintain, secure, and support the Services;
- create, render, store, manage, share, deliver, and track documents and proposals;
- provide AI-powered drafting, rewriting, summarization, extraction, analysis, scoring, formatting, and related functionality;
- authenticate users and maintain connected accounts, APIs, and integrations;
- synchronize information with third-party services that you enable;
- provide customer support and communicate about your account, transactions, service updates, security matters, and requested features;
- monitor, diagnose, and improve the reliability, security, and performance of the Services;
- detect and prevent fraud, abuse, security incidents, and violations of our Terms;
- process payments and maintain required financial and business records; and
- comply with applicable law or protect the rights, safety, and security of Proposal.Biz, our users, or others.
We do not use Your Content for unrelated advertising purposes.
3. AI Processing
Proposal.Biz uses artificial intelligence and machine-learning technologies to provide features including document generation, rewriting, summarization, scoring, extraction, formatting, analysis, and other document-related assistance.
When you request an AI-powered feature, information necessary to provide that feature may be transmitted to third-party AI or technology providers that Proposal.Biz uses for the applicable functionality. This may include your prompts or instructions and the document, file, business information, or other context that you provide or select for processing.
AI providers may process this information on our behalf or as independent service providers, depending on the applicable service and contractual arrangement. Any such processing is subject to our instructions, the applicable service terms, and this Privacy Policy.
AI-generated results may be inaccurate or incomplete. You are responsible for reviewing and validating generated content before relying on it.
4. Proposal.Biz Through ChatGPT, Claude, and Other AI Assistants
Proposal.Biz may be accessed through ChatGPT, Claude, MCP servers, APIs, connectors, custom actions, or other AI-assisted interfaces.
When you use Proposal.Biz through an AI assistant, the assistant or connected service may send Proposal.Biz information relevant to your request. Depending on the functionality and permissions involved, that information may include your instructions, relevant conversation context, selected files or documents, Proposal.Biz account or authorization information, and parameters required to perform the requested action.
Proposal.Biz processes that information to authenticate the connection, execute the requested operation, retrieve or modify information in your Proposal.Biz account, create or update documents, execute supported actions, and return the requested result to the connected AI assistant. Information retrieved or generated by Proposal.Biz may be returned to the AI assistant so it can present the result to you or complete the requested interaction.
Proposal.Biz does not receive your entire account or conversation history with an AI assistant merely because you connect the Proposal.Biz service. We process information transmitted to us through the connection and information otherwise made available to us through the applicable integration.
Your use of ChatGPT, Claude, or another third-party AI assistant is also governed by that provider’s applicable terms, privacy policy, security controls, and account or workspace settings.
5. How We Share Information
We may disclose or transmit information to the following categories of recipients when reasonably necessary to provide, operate, secure, or support the Services.
5.1 Service Providers
We may use providers for cloud hosting and infrastructure, storage and databases, AI processing, authentication, security, email and communications, analytics and monitoring, customer support, payments, fraud prevention, and related operational services.
Depending on the service in use, examples may include AWS and Vercel for hosting and infrastructure, Google Analytics for website analytics, Stripe or Razorpay for payments, and third-party email and communications providers. These providers may process information only as reasonably necessary to provide their services to us or as otherwise permitted by applicable law.
5.2 Connected Services
When you enable an integration, we may exchange information with the connected service according to the permissions and configuration you authorize. This may include HubSpot, Zoho CRM, Google Drive, Slack, e-signature services, communication services, and other supported business platforms.
5.3 Legal, Safety, and Business Transactions
We may disclose information when reasonably necessary to comply with law, regulation, legal process, or governmental request; protect the rights, property, or safety of Proposal.Biz, our users, or others; investigate fraud, abuse, or security incidents; enforce our agreements; or establish, exercise, or defend legal claims.
If Proposal.Biz is involved in a merger, acquisition, financing, restructuring, sale of assets, or similar transaction, information may be transferred as part of that transaction, subject to applicable law.
We do not sell Your Content as a commercial product.
6. Data Retention
We retain information only for as long as reasonably necessary for the purposes described in this Privacy Policy, including providing the Services, maintaining security, resolving disputes, enforcing agreements, complying with legal obligations, and maintaining legitimate business records. The following standard retention periods apply unless a longer period is required by law, contract, security requirements, or a documented business need.

When you request account deletion, we delete the account and associated active data from the Proposal.Biz backend, subject to data that must be retained for legal, security, fraud-prevention, dispute-resolution, billing, or other legitimate purposes and subject to the 30-day backup retention period. Information remaining in backups is automatically removed as those backups expire.
7. Your Choices and Controls
Depending on the Services you use, you may:
- access and update your account information;
- delete documents or other content using available product controls;
- request account deletion from the Proposal.Biz backend by contacting us at [email protected];
- disconnect third-party integrations and revoke OAuth authorizations where supported;
- revoke API keys and other access credentials where supported;
- manage notification and communication preferences; and
- manage cookies through available browser or cookie controls.
Disconnecting an integration generally prevents future access through that connection but does not automatically delete information previously transferred to or stored by the connected service. Deletion from a third-party service is subject to that service’s controls and policies.
8. Cookies and Similar Technologies
We use essential cookies and similar technologies needed to operate the Services and may use analytics technologies to understand usage, diagnose issues, and improve the Services. Where required by applicable law, we provide controls for non-essential cookies.
9. Security
We maintain reasonable and appropriate technical, administrative, and organizational safeguards designed to protect information against unauthorized access, alteration, disclosure, and destruction. These measures may include encryption in transit, access controls, authentication mechanisms, logging, monitoring, and restricted production-system access. No internet-based service can guarantee absolute security.
10. International Processing
Proposal.Biz and our service providers may process or store information in countries other than the country in which you live. Where required by applicable law, we use appropriate mechanisms and safeguards for international data transfers.
11. Children
The Services are intended for business and professional use and are not directed to children. We do not knowingly collect personal information from children where prohibited by applicable law.
12. Privacy Rights
Depending on your location and applicable law, you may have rights to access, correct, delete, restrict, object to, or request portability of personal information, and to withdraw consent where processing is based on consent. You may submit privacy requests to [email protected]. We may need to verify your identity and may apply lawful limitations or exceptions.
13. Business and Customer Data
Where Proposal.Biz processes business or customer information on behalf of an organization, the organization may determine the purposes and means of processing that information. In such circumstances, Proposal.Biz may act as a service provider or processor under the applicable customer agreement, data-processing agreement, or other contractual arrangement.
Users of an organization-controlled account should direct privacy requests concerning organization-controlled data to the relevant organization where appropriate.
14. Third-Party Services
Third-party services connected to Proposal.Biz have their own terms, privacy policies, and security practices. Your use of a third-party integration is subject to the applicable third party’s terms and policies in addition to this Privacy Policy.
Proposal.Biz does not control and is not responsible for the privacy or security practices of third-party services outside our control.
15. Changes to This Privacy Policy
We may update this Privacy Policy to reflect changes in the Services, technology, legal requirements, or our data practices. When we make material changes, we will update the effective date and provide additional notice where required by law.
