Cover letter

Dear Property Owner,
Thank you for the opportunity to present this Property Management Proposal and Service Agreement. This document is designed for owners who want stronger rental performance, cleaner reporting, tighter cost control, and fewer day to day management burdens. Our role as MANAGER is to protect the asset, stabilize occupancy, and keep operations moving without unnecessary friction.
Our management philosophy is straightforward. We market vacant space quickly, screen tenants carefully, collect rent with discipline, coordinate maintenance through approved vendors, and report to ownership in a format that is easy to review and act on. The objective is to maximize property value and rental yields while reducing the headaches that often come with self management or inconsistent third party oversight.
This proposal also includes a formal agreement section. The party and property details shown there are illustrative and must be confirmed before execution.
We appreciate your consideration and welcome the opportunity to serve as your property management partner.

Executive summary

This proposal is built for property owners and asset managers who want predictable operations, prompt collections, reliable tenant oversight, and complete visibility into property performance. The management approach focuses on occupancy strength, tenant quality, cost discipline, and consistent communication with ownership.
Vacancy control
Target marketing, listing management, showing coordination, and lead follow up are used to reduce downtime between tenancies.
Tenant quality
A multi step vetting process reviews identity, income, rental history, and other screening criteria permitted by law.
Collection discipline
Automated rent collection, arrears follow up, and documented escalation procedures support steadier cash flow.
Maintenance oversight
Repairs are coordinated through vetted vendors with approval thresholds, invoice review, and service tracking.
Owner visibility
Real time portals and scheduled statements give ownership access to financial activity, work orders, and portfolio updates.

Owner pain points and solutions

The headache
Our solution
Vacancy rates
Target marketing, prompt listing activation, showing coordination, and market based pricing guidance.
Tenant screening
Multi step tenant vetting with documented review of identity, income, rental history, and approval criteria.
Rent collection delays
Automated collections, reminder workflows, delinquency monitoring, and formal escalation procedures.
Maintenance overcharges
Audited vendor networks, quote controls for larger work, invoice checks, and approval thresholds.
Complex reporting
Real time owner financial portals, monthly statements, inspection updates, and organized record keeping.
Fee transparency matters. Routine inspection charges are not billed separately unless they are expressly listed in the fee schedule or approved in writing.
This operating model is intended to remove landlord headaches without reducing owner control. Ownership retains decision rights on major expenditures, leasing parameters, and termination rights set out in the agreement. MANAGER handles the daily work within the authority granted.
