Created by: [custom.plannerFirstName] [custom.plannerLastName], [custom.plannerCompany]

Header and Contracting Parties

This Event Planner Contract (the "Agreement") is entered into on October 1, 2026, by and between Jordan Lee ("Client"), residing at 100 Example Avenue, San Francisco, California 94103, and Avery Morgan ("Planner"), on behalf of Harbor Event Studio LLC, residing at 200 Sample Street, San Francisco, California 94105.
The Client and the Planner may each be referred to individually as a "Party" and collectively as the "Parties." The Parties desire to set forth the full terms under which the Planner will provide event planning services for the event described in this Agreement.
Section 1

1. Event Details

  • Event dates: June 12, 2027 to June 12, 2027
  • Event location: Grand Pavilion, 150 Market Street, San Francisco, California 94105
  • Event description: Redwood Ventures Annual Reception
The Planner shall provide services solely in connection with the event identified above, unless the Parties later agree in a written amendment signed by both Parties.

2. Responsibilities of the Planner

  • The Planner shall coordinate vendors, maintain the event timeline, track the approved budget, and manage on-site event logistics.
  • The Planner shall use commercially reasonable efforts to organize, coordinate, and manage the agreed event services in a professional manner.
  • The Planner shall keep the Client reasonably informed regarding material planning progress, vendor matters, scheduling considerations, and budget-impacting decisions.
  • The Planner shall not enter into third-party vendor contracts, authorize non-refundable deposits, approve invoices, or otherwise commit Client funds without the Client’s prior written consent.
Written client approval is required before the Planner binds the Client to any vendor contract or non-refundable expenditure.

3. Payment

In consideration for the services provided under this Agreement, the Client shall pay the Planner a total contract fee of $10,000 (the "Total Fee"), subject to the payment structure set forth below.
  1. Execution Deposit: The Client shall pay $3,000 upon signing this Agreement. The Planner is not required to begin performance until the execution deposit has been received.
  2. Final Balance: The remaining balance of $7,000 shall be due on the day of the Event following service completion, unless the Parties expressly agree otherwise in writing.
  3. Invoices: The Planner shall send timely electronic payment invoices for amounts due under this Agreement, and the Client shall remit payment in accordance with the invoice instructions.
Any out-of-pocket third-party costs, vendor charges, materials, or other event expenses not expressly included in the Total Fee shall remain the responsibility of the Client if approved by the Client in writing.
Section 4

4. Cancellation Policy

  • Full Refund: If the Client cancels 60 or more days before the Event date, the Client shall receive a full refund of amounts paid toward the Planner’s fee, excluding any client-approved non-refundable third-party deposits already incurred.
  • Partial Refund: If the Client cancels less than 60 days but more than 30 days before the Event date, the Client shall receive a 50% refund of amounts paid toward the Planner’s fee, excluding any client-approved non-refundable third-party deposits already incurred.
  • No Refund: If the Client cancels less than 30 days before the Event date, no refund of the Planner’s fee shall be due, except as otherwise required by applicable law.
If the Planner cancels before completion of the services, the Planner shall provide a replacement planner approved by the Client in writing and shall refund all payments received under this Agreement, excluding only those client-approved non-refundable budget deposits or expenses already committed to third parties.
Cancellation refunds apply to the Planner’s fee structure and do not obligate the Planner to reimburse third-party charges that the Client approved as non-refundable.

5. Termination Policy

This Agreement shall automatically terminate upon the Planner’s completion of the services and the Client’s payment in full of all amounts due under this Agreement, unless earlier terminated in accordance with this Section.
If performance becomes impossible, illegal, or commercially impracticable due to floods, natural disasters, severe weather events, governmental restrictions, labor disruptions, supply chain breakdowns, or other unforeseen market calamities beyond a Party’s reasonable control, either Party may terminate this Agreement upon written notice.
In the event of such force majeure termination, the Client shall reimburse the Planner for actual time spent, work actually performed, and unrecoverable material expenses or approved third-party commitments incurred before termination, to the extent documented by the Planner.

6. Photography and Publicity Rights

Subject to the Client’s prior approval and any required subject consent, the Planner may capture photographs or related visual media at the Event and may use approved materials for the Planner’s portfolio, promotional, and marketing purposes.

7. Liability for Injuries

  • The Client acknowledges that the Planner is not responsible for personal injury, property damage, or other harm suffered by guests, attendees, or third parties at or relating to the Event, except to the extent caused by the Planner’s gross negligence or willful misconduct.
  • The Planner acknowledges that the Client is not responsible for personal injury or other harm suffered by the Planner or the Planner’s employees, contractors, or staff at or relating to the Event, except to the extent caused by the Client’s gross negligence or willful misconduct.
  • Each Party shall remain responsible for its own acts, omissions, and legal obligations under applicable law.
These liability allocations are intended to create a mutual waiver for ordinary event-related injury risk while preserving claims arising from gross negligence or willful misconduct.

8. Dispute Resolution

The Parties shall first attempt in good faith to resolve any dispute arising out of or relating to this Agreement through direct negotiation. If the dispute is not resolved informally, the Parties agree to participate in mediation before initiating litigation, unless immediate court relief is necessary to prevent irreparable harm.
In any legal proceeding arising from this Agreement, the prevailing Party shall be entitled to recover its reasonable attorney fees and costs, to the extent permitted by applicable law.

9. Severability

If any provision of this Agreement is held invalid, illegal, or unenforceable, the remaining provisions shall remain in full force and effect to the maximum extent permitted by law.

10. Legal and Binding Agreement

Each Party represents and warrants that it has the full legal right, power, and authority to enter into this Agreement and to perform its obligations under it. This Agreement shall be legal, valid, and binding upon execution by both Parties.

11. Entire Agreement

This Agreement constitutes the entire agreement between the Parties concerning the subject matter hereof and supersedes all prior or contemporaneous proposals, negotiations, understandings, and oral discussions relating to the same subject matter.

12. Changes/Amendments

No amendment, modification, or waiver of any provision of this Agreement shall be effective unless it is in writing and signed by both Parties.

13. Governing Law and Jurisdiction

This Agreement shall be governed by and construed in accordance with the laws of California, without regard to conflict of law principles. The Parties consent to the courts of competent jurisdiction located in California for any action permitted under this Agreement following completion of the dispute resolution process.

Event Planner Contract Template Overview

Event work involves a lot of moving pieces, vendors, timelines, and last-minute changes, and the contract needs to hold up under that pressure. This event planner contract template lays out the services included, the planning timeline, payment schedule, and cancellation terms, so an event coordinator contract protects both the planner and the client if plans shift.

A clear contract also sets the tone for the relationship that follows. The client reviews it on any device, signs and pays the deposit in the same place, and past events stay filed for the next booking.
