Re: enclosed proposal

Dear Maya Chen,
Thank you for inviting Alder Studio Architects to propose architectural services for Harborview Development LLC. We welcome the chance to plan the Harborview Community Center renovation with your team and develop a design that responds to the existing building, its users, and your budget.
Our approach is rooted in clear communication, careful planning, and design solutions that respond to the site, the brief, the users, and the budget. We aim to develop spaces that are functional, enduring, and appropriate to their context while maintaining close attention to cost control, schedule discipline, and buildability.
Throughout the assignment, our team will work to align the design intent with project timelines, statutory requirements, and procurement realities. We also place strong emphasis on sustainable and eco-friendly design practices, including responsible material selection, environmental performance, and long-term operational efficiency where applicable to the project brief.
This document sets out our proposed services, milestone schedule, fees, payment terms, and contractual conditions for the Harborview Community Center renovation. We would be pleased to discuss the scope with Harborview Development LLC before work begins.
Sincerely, Alder Studio Architects

Executive summary

Alder Studio Architects submits this sample proposal to Harborview Development LLC for architectural and interior design services on the Harborview Community Center renovation. The proposed work covers the existing public rooms, circulation areas, and interior finishes, subject to the agreed scope and site review.
Our objective is to turn Harborview’s brief into a coordinated renovation design that supports everyday community use and can be reviewed against the available budget. The proposed stages include concept sketches, schematic plans, drawing development, interior finish direction, and support for an authority submission if one is required.
The milestone schedule gives Harborview Development LLC a basis for reviewing design progress, approving each stage, and planning payments. Construction events shown later in this sample remain dependent on contractor scheduling and authority decisions.
The following sections set out the proposed deliverables, indicative milestones, project team, sample fee, payment triggers, and contract terms.

Detailed proposal

The firm and approach
  • Develop the Harborview Community Center renovation around the existing building, community room needs, accessibility priorities, and the client’s budget.
  • Feasibility analysis to test project constraints, opportunities, budget fit, and development practicality at the outset.
  • Use of 3D modeling and visual studies to support decision-making, stakeholder review, and design coordination.
  • Review of applicable local and national building code requirements relevant to the agreed scope.
  • Integration of environmental sustainability principles, material awareness, and long-term operational thinking where appropriate.
Scope of proposed deliverables
For this sample project, the design package covers concept sketches, existing-condition review, proposed plans, and spatial studies for the community rooms and shared circulation areas. The scope will be confirmed with Harborview Development LLC before design work starts.
At later stages, the package may include presentation plans, elevations, sections, an area schedule, and revisions arising from agreed client feedback at each milestone.
Interior design work may include furniture layouts, finish selections, lighting intent, and coordination with separately appointed specialists. No master planning services are assumed for this renovation unless added in writing.
Submission support for planning permission or similar authority processes may be included where stated in the final scope. Statutory approvals themselves remain subject to third-party review timelines and external authority decisions.
